This is the sequence, in order. Nothing here is aspirational — it is what the agent is built to do on every inbound call.

  • Picks up on the first ring. No hold music, no menu, no “press one for service.” A driver with a truck down does not navigate a phone tree.
  • Establishes the situation before the paperwork. Is the truck drivable? Is it in your lot, at a scale, or on the shoulder? That answer changes everything that follows.
  • Captures the unit. Unit number, make and model, engine family, mileage, VIN if they have it in front of them.
  • Captures the complaint in the driver's words. Symptoms, warning lights, fault codes, when it started, what changed. Not a category from a dropdown — the actual complaint, on the ticket.
  • Identifies who is calling. Owner-operator, fleet maintenance manager, dispatcher, or a driver calling on someone else's authority. Fleet accounts are recognised and handled on your terms.
  • Books only when booking is the right answer. If the truck can drive in, it checks real availability against your calendar, bay capacity and appointment types. If it can't, it doesn't pretend an appointment solves anything.
  • Escalates when it should. Roadside, tow-in, a hot fleet account, or anything outside its rules goes to a live person immediately, by your escalation policy.
